This Privacy Policy explains how The Olive Tree House ("we", "us", "our") collects, uses and protects personal information when you use this website or contact us about a stay in Liapades, Corfu, Greece.
1. Who we are
The Olive Tree House is an independent holiday rental property located in Liapades, north-west Corfu, Greece.

The Olive Tree House referred to in this Privacy Policy is not affiliated with, connected to or associated with any other accommodation business or property using the same or a similar name, whether in Corfu, elsewhere in Greece or in another country.
2. Information we collect
Information you provide to us
When you use the enquiry form on our Contact or Availability pages, we collect:
- your name;
- your email address;
- your telephone number, where provided;
- any message or notes you include; and
- your confirmation that you have read the house rules, where this applies.
If you provide information about another guest (for example, when enquiring on behalf of a group), you should ensure that they know their information has been provided to us and have read this Privacy Policy.
Information we ask for ahead of your stay
Once a booking is confirmed, we ask you by email for:
- your passport or ID number, required solely for registration with the Greek authorities (AADE); and
- your flight number and estimated arrival time, to help coordinate your arrival with our property manager.
Information collected automatically
Standard web hosting infrastructure automatically records some technical information when you visit the website, such as your IP address, browser and device type, and the date and time of access. We use this only to operate, secure and troubleshoot the website. The website does not currently use any analytics or tracking tools (see Section 7).
3. How we use your information
We use your personal information to:
- respond to questions and messages;
- review availability enquiries and check requested dates;
- provide quotations;
- take steps requested by you before entering into a booking agreement;
- create, confirm and administer bookings;
- communicate about payment, arrival, check-in, your stay and checkout;
- provide directions and practical information;
- coordinate with our property manager;
- register your stay with the Greek tax authority (AADE), as legally required;
- maintain guest and booking records;
- comply with tax, accounting and other legal obligations;
- respond to requests, complaints or disputes; and
- maintain and improve the website.
We do not sell or rent your personal information, and we do not use it for automated decision-making that produces legal or similarly significant effects.
4. Our lawful bases for processing
Steps before, and performance of, a contract
We use this basis to respond to enquiries, prepare quotations, arrange and confirm bookings, process payments, and administer your stay.
Legal obligation
We may process and retain information where necessary to comply with tax and accounting requirements, or requests from courts, law enforcement or public authorities. This is the basis on which we collect your passport or ID number, which Greek law requires us to submit to the tax authority (AADE) for every stay.
Legitimate interests
We may process information where necessary for our legitimate interests (such as operating the property, maintaining accurate records, preventing misuse, and resolving disputes) provided those interests do not override your rights.
Consent
We rely on consent where required by law, including for any non-essential cookies or analytics we may introduce in future, and for electronic marketing.
You may withdraw consent at any time; this does not affect processing that already took place.
5. Availability and booking enquiries
Submitting an enquiry through the website does not create a confirmed booking or secure the requested dates. We use the information you submit to check availability, prepare a quotation, answer your questions, and keep a record of the correspondence.
If an enquiry does not result in a booking, we retain it only as long as reasonably necessary for follow-up and record-keeping (see Section 10).
6. Payments
This website does not collect or store payment-card details, and we do not currently process payments online.
Bookings are secured with a 30% deposit paid by bank transfer, with the balance paid in cash on arrival. Where payment is made by bank transfer, your bank, our bank, and any financial institutions involved may process related information under their own privacy policies.
We keep records of amounts paid, payment dates and related correspondence for accounting and legal purposes.
If an online payment provider is introduced in future, this policy will be updated first.
7. Cookies and analytics
Essential cookies
The website may use essential cookies needed to operate securely and enable forms and navigation. These do not require consent.
Non-essential analytics
The website does not currently use any non-essential cookies, analytics, or session-recording tools. If this changes in future, we will add a cookie banner, seek your consent before any such tool runs, and update this section to name the specific tool(s) in use.
8. Who we share information with
We may share personal information, where necessary, with:
- our property manager, to arrange your arrival and stay;
- Formspree, the third-party service that delivers enquiry-form submissions to us by email;
- the Greek tax authority (AADE), for mandatory guest registration;
- banks and financial institutions, in connection with payments;
- our accountant or legal adviser, where relevant; and
- courts or law enforcement, where legally required.
No other third party (including any cleaner, maintenance provider or booking-technology supplier) has access to guest information. We share only what is reasonably necessary for the relevant purpose, and do not share information with anyone else, including for marketing.
9. International transfers
Formspree, our enquiry-form provider, is based in the United States. Where personal information is transferred outside Greece, the EEA or the UK, we take appropriate steps to protect it, including relying on approved contractual safeguards. You can ask for more detail using the contact details in this policy.
10. How long we keep your information
- General enquiries that do not result in a booking: up to 12 months after the last communication.
- Booking records, payment records and related correspondence: for the period required by applicable tax and accounting rules.
- Passport or ID numbers, submitted to AADE for guest registration: retained only for as long as required by Greek tax law, then deleted.
- Records relating to a complaint or dispute: until the matter, and any applicable legal time limit, has ended.
Information may be deleted sooner where it is no longer needed, or kept longer where the law requires it.
11. How we protect your information
We use reasonable technical and organisational measures (such as access controls and secure systems) to protect personal information against unauthorised access, loss, misuse or disclosure. No system is completely secure, so please avoid sending unnecessary sensitive information by email or through website forms.
12. Your data-protection rights
Under applicable data-protection law, you may have the right to:
- ask what information we hold about you;
- ask us to correct or delete it;
- object to, or ask us to restrict, how we use it;
- receive certain information in a portable format; and
- withdraw consent at any time.

14. Marketing communications
We will not add you to a mailing list simply because you make an enquiry or a booking. Messages relating to your enquiry, booking or stay are administrative, not marketing, and may still be sent where necessary.
15. Children's information
We do not knowingly collect personal information directly from children through the website. Where information about a child is needed for a family booking, it should be provided by a parent or guardian.
16. Third-party websites
The website links to some external services, including Google Maps and a Google Earth view of the area. We are not responsible for the privacy practices of these third-party sites.
17. Changes to this policy
We may update this policy to reflect changes to the website, our services, or the law. The latest version, with its update date, will always be published on this page.
